Booking & Cancellation Policy
Last updated: [date]
This policy explains how to book, how to make changes and what happens if you need to cancel. It forms part of our Terms & Conditions.
How to book
- Send us an enquiry. We design your itinerary and send a quote, free and with no obligation.
- When you are happy, confirm in writing and pay the deposit of [30%].
- We confirm your lodges, permits and flights and send your booking confirmation.
- Pay the balance [60 days] before you travel. We send your final travel documents about two weeks before departure.
Changing your booking
We will always try to help. Changes depend on availability and may involve supplier charges, which we pass on at cost, plus an amendment fee of [amount]. Changing travel dates within [60 days] of departure may be treated as a cancellation.
If you cancel
Please cancel in writing. Charges are a percentage of the total trip price, based on when we receive your notice:
- [More than 90 days] before departure: loss of deposit
- [89–60 days]: [50%]
- [59–30 days]: [75%]
- [Fewer than 30 days], or no-show: 100%
Non-refundable items
Some costs cannot be recovered once paid, whatever the date: gorilla and chimpanzee permits, domestic and light-aircraft flights once ticketed, some peak-season lodge deposits, and Kilimanjaro park fees once paid. We will flag these on your quote.
If we cancel
If we have to cancel your trip, for example because of safety concerns, you can choose an alternative trip or a full refund of everything you have paid us.
Refunds
Refunds are paid to the original payment method within [30 days]. Bank and card charges are not refundable.
Travel insurance
We strongly recommend taking out cancellation cover as soon as you pay your deposit.
